How to Set up a Conference Call Basics

Common Sense that is Not so Common

After you've found a service provider for your conference call now it's time to set a.  Assuming that you've had all your questions answered by customer service, there are still some things you need to take care of regarding the people that are going to be involved in the conference.

OK, obviously the first thing you're going to need is a list of the people that are going to be involved in the conference, and of course a way to contact them.  Make sure they have all the details to attend the conference call such as any passwords, and any promps they need to follow.  They are also going to need to know the time of the conference call which is important especially if you have people all over the globe.  So make sure you let them know what time zone you are referring to.

It is also helpful for everyone attending if you are able to provide them with approximate length of the conference session.  That way, they can plan accordingly to the rest of the day. Let it be known what the objective of the conference is for. So, for example, if you want to discuss a marketing strategy for your new line of cell phone widgets, in the notice memo make sure that you give that directive so everyone will be ready.

Remember, the more details you can provide the people for the conference calling session, the easier it will be for them to participate.  Also, you won't have a lot of last-minute "hang-ups" to deal with.

Now, just to recap…

- blast away a notice to everyone involved approximately 48 hours before the event

- include the time and time zone, date, and phone number to call into.

- provide any passwords

- state that topic of interest for the conference

- state the outcome to be obtained from the conference
